Mobile App Setup

Download & Installation
  1. Download App

    Get ChapterSphere from App Store (iOS) or Google Play Store (Android)

    What you'll see: Search for "ChapterSphere" in your app store. The app icon features the ChapterSphere logo with a blue and white design. Tap the "Get" (iOS) or "Install" (Android) button.
  2. Chapter Code Entry

    Enter your chapter code or scan QR code provided by chapter admin

    First screen: You'll see a welcome screen with a text input field labeled "Chapter Code" and a QR code scanner icon. The chapter code is typically 6-8 characters (e.g., "BNI001" or "CHAP123").
  3. Login Credentials

    Use email/phone and password provided by chapter admin

    Login screen: After entering the chapter code, you'll see a login form with your chapter's branding. Enter your email address or phone number in the "Username" field and the password provided by your chapter admin.
  4. Enable Permissions
    • Location services (Required for attendance)
    • Push notifications (Recommended)
    • Camera (For QR code scanning)
    Permission prompts: The app will request three permissions sequentially. For location, choose "Allow While Using App." For notifications, tap "Allow." For camera access, tap "OK." These are standard iOS/Android system dialogs.
Setup Tips
  • Ensure stable internet connection during setup
  • Allow all requested permissions for full functionality
  • Test location services at your meeting venue
  • Enable biometric authentication if available
  • Keep app updated for latest features

Geo-Fenced Attendance

How Geo-Fencing Works
  1. Location Detection

    App continuously monitors your GPS location when opened

    What you'll see: When you open the app, you'll notice a small location icon in the top bar that shows GPS is active. The app displays your current distance from the meeting venue (e.g., "1.2 km from venue").
  2. Venue Proximity Check

    System checks if you're within the defined radius of meeting venue

    Proximity indicator: As you approach the venue, you'll see the distance counter decrease (500m → 200m → 100m). The app shows a circular progress indicator that fills up as you get closer.
  3. Attendance Button Activation

    Check-in button becomes active only when you're at the venue

    Button activation: When within the geo-fence (typically 100m), the "Check In" button changes from gray to bright green with a subtle pulsing animation. You'll also see "✓ At venue - Ready to check in" message.
  4. Time-Based Status

    Automatic determination of "Present" vs "Late" based on meeting start time

    Status indicator: The app shows the meeting start time and current time. If you're checking in before the start time, you'll see "On Time" in green. After the start time, it shows "Late Arrival" in orange.
  5. Confirmation & Sync

    Attendance recorded locally and synced to server immediately

    Success confirmation: After tapping "Check In," you'll see a success screen with a large checkmark, your attendance status (Present/Late), timestamp, and "Attendance Recorded Successfully" message. The data syncs immediately if online.
Attendance States
  • Present: On time check-in
  • Late: Check-in after start time
  • Absent: No check-in recorded
  • Excused: Admin marked excuse
Geo-Fencing Requirements
  • GPS must be enabled and accurate
  • You must be physically present at the venue
  • Typical geo-fence radius is 100-200 meters
  • Indoor locations may require additional time for GPS lock

Mobile Payment Features

UPI Payment Integration
  1. View Outstanding Dues

    Check pending venue charges in app

    Payments screen: Tap "Payments" in the bottom navigation. You'll see a list of outstanding charges with meeting dates, venue names, amounts, and "Pay Now" buttons. Overdue items are highlighted in red.
  2. Select Payment Amount

    Choose specific charges or pay multiple at once

    Selection interface: Each charge has a checkbox. Select individual items or use "Select All" at the top. The total amount updates dynamically at the bottom with a "Pay ₹XXX" button.
  3. UPI Payment Gateway

    Secure payment through integrated UPI system

    UPI interface: After tapping "Pay Now," you'll see UPI app options (GPay, PhonePe, Paytm, etc.) in a grid layout. Select your preferred UPI app to complete the payment.
  4. Instant Confirmation

    Real-time payment status and receipt generation

    Success screen: You'll see a green checkmark, "Payment Successful" message, transaction ID, amount paid, and timestamp. The payment status updates immediately in your payment history.
  5. Receipt Download

    PDF receipt available immediately

    Receipt access: A "Download Receipt" button appears on the success screen. Tapping it downloads a professional PDF receipt with chapter branding and payment details.

  • Transaction History:

    Complete record of all payments made

Payment Security

All payments are processed through secure, encrypted channels with Bearer Token authentication. Your financial information is never stored on the device.

Visitor Management

Inviting Visitors
  1. Access Visitor Section

    Navigate to "Invite Visitor" in app menu

  2. Enter Visitor Details
    • Visitor name (Required)
    • Mobile number (Required)
    • Email address (Optional)
    • Business details (Optional)
  3. Select Meeting

    Choose which meeting to invite visitor to

  4. Send Invitation

    System sends invitation via SMS/email

Visitor Payment Handling
